Time management encourages single-tasking and focus on one task at a time.

Improving your focus is like wearing noise-cancelling headphones when your favourite song comes on. You’re able to shut out the noise and distractions around you, and you’re able to produce quality work that really sings. So, crank up that volume and get ready to rock!

  1. Enhances quality of work

It enables you to complete tasks properly, leading to higher quality of work.

  1. Improved physical health

It reduces the strain of multitasking, which can be detrimental for your physical health.

Supporting your physical health is like being a superhero with a built-in immune system booster. By avoiding multitasking and reducing stress, you’re able to keep your mind and body healthy and strong. No kryptonite can knock you down now!

  1. Better time for leisure

It allows you to make time for relaxation and leisure activities.

Allowing time for leisure is like giving yourself a well-deserved pat on the back. You’re not just all work and no play; you’re able to enjoy the fruits of your labour and spend time on the things you love. So go ahead, take that vacation you’ve been dreaming of!

  1. Increased satisfaction

It ensures a sense of accomplishment and helps you to feel satisfied with what you have achieved.

Is time management a skill?

Well… to some extent, it is a skill.

But for the most part, time management is based on our habit of being productive.

Time management is all about efficiency, effectiveness, and productivity.

If you are productive and achieving your goals on time-then you manage your time wisely.

Upon mastering the 5 Time Management Secrets, you experience contentment, ease and confidence.

Our time is our biggest asset. So, let’s get into the juicy secrets.

Time Management Tip

#1 Make a List

Make a list, because it will help you to be organised.

Not fully convinced and think you have it all in your head?

Then start making a list from now on anyway and you will see a big difference.

Really? Oh, yes!

It will help you to be organised and focused.

Your list shouldn’t be too long. There is a negative psychological impact of not finishing your tasks. So be realistic on what you can really get done each day.

Once you complete your task-cross it off.

Time Management Tip

#2 One Task at a Time

Imagine the situation.

You get up in the morning, have your breakfast and cup of coffee. You sit down and see for folders on your desk. You grab one of them and start to read. After 10 minutes of reading, you realise it will take you half a day to complete. You put it aside. You take another folder and find a letter. As you read it half way, your phone rings. You answer the phone, and it puts you in a completely different direction. To finish the task, it takes you 40 minutes.

Finally, you go back to the folder, but you forgot what you have read already, so you start from the beginning.

After 5 minutes, you hear your Email notification. You expect an important email, so you rush to check your Email inbox.

No, it’s not the email you expected, but it’s another important email. You realise you need more time for this email to check all the details. So you need to go back and No, it’s not the email you expected, but it’s another important email. You realise you need more time for this email to check all the details. So you need to go back to an open 7 emails that cover that important contract. You go back to an open one-by-one to double-check the details.

It takes you 40 minutes to read all 7 emails. Another 20 minutes to write down the important points.

You now have to make a proposal, revisit conditions, but you’re already tired.

You take a break-you need another cup of coffee.

After the break, you decide to spend a few minutes on Instagram, but these few minutes turn into nearly two hours. These little puppy videos capture your interest. You’re hooked. Then beautiful travel photos bring you in a dreamland.

You sit there and think-it’s OK, I will get motivated to create a new Instagram Story or Reels. It’s the way to get exposure, you heard.

After another 20 minutes, you get a phone call. You can’t ignore it-it’s a family member.

30 minutes on the phone and it’s 7pm.

You’re already tired, but you haven’t done a lot all day long.

You think-I’ll do it all tomorrow.

You go to bed, but you can’t fall asleep-your inner critic gives out on you. Then you start to plan another day.

Does it sound familiar?

I thought so.

Did you know, that…

Most people waste about 7 weeks a year! How? Revisiting things and not taking an action each day.

Yes! Most of us waste about 7 weeks a year to revisit, readdress, reread documents, SMS, chatbot messages and emails. That’s shocking, right?

So, how to do more in less time?

Simple! If you start a task-finish it. Focus on that task and that task only, so you don’t have to come back to it again and again.

If the task takes a long time-for example, writing a book-then broke that task down into smaller tasks.

Emails eat lots of our time. And most of the time you need to go back and forth to read all emails that cover one matter.

How can you save time when it comes to emails?

Here is a simple trick. Change the subject line as you change the email content. This way, you don’t have to go back and forth over and over again to find particular details.

Your subject line can be your assistant and tell you what this email is all about. Cool, right?

So, once you start the task, do not put it aside. Start a task and complete it.

The next time management tip will help you focus and achieve your tasks.

Time Management Tip

#3 Plan Your Day

Now you have your to-do list, and you know it’s crucial to stay focused on one task at a time, so you can give it your full attention and complete it efficiently.

Next step is to plan your day.

You know what tasks are urgent, so do them first. You know what tasks are the hardest-do them when your energy levels are the highest. It could be the morning, or after you have your second cup of coffee. Only you know it.

Not only this…

To make it 100% effective

Decide on a time for each task.

Your day could look something like this

8.00 -9.00 am           Emails

9.00 -9.30 am           Review and send a contract

9.30 -11.00 am         Zoom Meeting

12.00 – 13.00 pm      Lunch

13.00 – 16.00 pm     Creating Content

16.00 – 17.00 pm     Spying on Competitors

17.00 – 18.00 pm     Direct Mail Campaign

 Time Management Tip

#4 Prioritise Your Tasks

Put your efforts first on those tasks, that bring results, because….

20 % of your efforts bring 80% of the results.

But…

When you plan your day and prioritise, you put your 80% of your time and efforts on tasks that bring results, and only 20 % on everything else.

The key to success is not to work long hours, stay busy. The key to success is to invest the most energy and focus into tasks, that will bring results.

Once you make your list-revisit it and see if you can clear your to-do lists by prioritizing the most important tasks and offload non-essentials.

Also…

The big mistake business owners do is they function in a reactive mode.

What to achieve more in less time?

Switch off your reactive mode and be proactive.

Because….

If you run a business by always reacting to people, things and events, you’re wasting your time. It’s crucial.

If you get an Email, SMS message, chatbot message notifications, do not jump right on it and answer at the moment it comes in. Do not be reactive. Plan your day. You’ll be able to concentrate and get things done faster.

Switch off all notifications, close down all social media channels. Prevent interruptions and achieve more.

Focus on urgent and important activities. Learn to say “no” to tasks that can wait and are not that important.

Time Management Tip

#5 Always Stick to Your Plan

We all get interrupted. Me and you too. Different things, people and events now and then will disturb you. You will be brought to a new direction by emergencies.

Because…. Life happens….to all of us…

Millions of disturbances battle for our attention. We live in a Distracted World.

The secret to deal with this?

Accommodate emergencies, address these detours. Deal with it and then return to your schedule. Pick up where you left off.
